TaxFlow
AI tax and accounting automation for CA firms and accounting practices
Concept Study - This implementation is based on industry research and typical AI deployment outcomes. Client names and identifying details are fictional. Individual results vary based on business size, existing processes, and implementation scope.
The Situation
Mehta and Associates - an 8-member CA firm in Coimbatore handling GST filing, income tax returns, audit, and bookkeeping for 45 active clients across manufacturing, retail, and services sectors. Senior partner plus four junior CAs and three support staff. 15-year firm with strong local reputation. Every tax season the team worked 14-hour days and still missed deadlines.
The Problem
- GST filing for 45 clients done entirely manually - data collected via WhatsApp, email, and physical visits - entered into Tally by hand
- Each client GST filing taking 3 to 4 hours of junior CA time - 135 to 180 hours per month across all clients for GST alone
- Invoice data received in every format - Excel, PDF, photographs, WhatsApp forwards - all manually sorted and re-entered
- GSTR-2A reconciliation taking 2 full days per client per quarter
- Tax season chaos - ITR filing for 45 clients simultaneously with no tracking system
- Client document collection entirely manual - same clients sending incomplete data every single month
- Rs. 3.2 lakhs in outstanding fees at any given time with no automated follow up
- No dashboard - senior partner had no visibility into filing status across all clients
- Monthly losses: Rs. 1,08,000 in excess overtime - Rs. 45,000 in late fees - Rs. 3.2 lakhs in uncollected fees - capacity fully constrained
What We Installed
Phase 1 - AI Invoice Processing Engine:
Every invoice from any client in any format - PDF, Excel, photograph, WhatsApp forward - automatically processed by AI. Data extracted, validated, and entered into correct client account in Tally automatically. Zero manual data entry.
Phase 2 - Automated GST Filing Pipeline:
System automatically collects transaction data, reconciles against GSTR-2A, flags mismatches for CA review, prepares GSTR-1 and GSTR-3B draft, sends to client for approval via WhatsApp, files on approval, stores confirmation automatically. 3 to 4 hours per client reduced to 20 minutes.
Phase 3 - Client Document Collection System:
Every month on the 2nd, every client receives WhatsApp message listing exactly which documents are needed. Daily reminders until documents received. CA team stops chasing clients manually entirely.
Phase 4 - Tax Season ITR Management:
Dashboard showing all 45 clients with ITR status - documents pending, computation in progress, client approval pending, filed, acknowledgement received. Everything visible in one screen.
Phase 5 - Automated Billing and Collections:
On completion of work, system automatically generates invoice for each client and sends via WhatsApp and email. Automated payment reminder sequence at day 7, day 15, and day 30. Outstanding fees dashboard updated in real time.
Phase 6 - GST Notice Management:
When GST notice received, AI reads it, identifies the issue, pulls relevant transaction data, and prepares draft response for CA to review and submit. Notice resolution cut from 6 hours to 45 minutes.
